Record paid, waived, refunded or unpaid deposits
Review actual payment proof and keep manual deposit records separate from appointment capacity.
For: Business · Staff with deposit permissions. Open: Appointment details → deposit controls.
Check the money record
- Read Deposit Status, Due, Received, Refunded and Deadline on the correct booking.
- Verify the actual payment/refund through the business’s external process. Reserva does not read deposit-proof emails automatically.
- Use the permitted Paid, Waived, Refunded or Unpaid action; enter the requested amount, reference/reason and save.
- Reload and review deposit history and remaining balance. Use the offered correction mechanism for mistakes.
Due is not money received. A Paid record does not charge a card. Refunded records an actual refund; it does not send money through a provider. Waived changes the obligation, not a bank balance. None of these controls releases Staff capacity or changes appointment status.
The five-hour overdue-deposit deadline produces a warning, not automatic cancellation. Approved continues to hold capacity until an authorized status change releases it. Cancel/reject separately when appropriate. Do not double-count a deposit on top of the booking’s price. Permission to view deposits and permission to change them are separate; unavailable controls require correct authorization, not shared passwords.
To change the proof inbox, reference label or customer payment instructions, see Business information and deposit instructions. Those settings do not mark a booking Paid, Waived or Refunded.
